Lay Volunteers

Our lay volunteers are critical to VIM’s mission of healing. Most are retired, coming from backgrounds as CEO’s, CFO’s, librarians, teachers, college professors, professional musicians, or sports professionals in their former lives. These individuals are typically the first people our patients see when they enter the clinic. From computer and telephone experience to working with others, our lay volunteers have a variety of skills that they put into practice in numerous ways while at the Clinic. They are non-medical, but professionals in everything they do.

If you are ready to join our unique and diverse team of lay volunteers, we can always use your help! No matter what your skills or prior vocation, you will find a home for your talents at VIM while enjoying a kinship with your fellow VIM volunteers.

UNLESS OTHERWISE NOTED, NO PRIOR EXPERIENCE IS NECESSARY FOR OUR VOLUNTEER POSITIONS. WE WILL TRAIN YOU!

Non-Medical Volunteer Opportunities

GREETERS AND ASSISTANT GREETERS

Responsibilities of the greeters, who are stationed at the front desk and lobby area, include welcoming and signing in patients. They assist and direct patients to the waiting area, to screening and triage stations, to scheduling, and to the pharmacy. They locate medical charts, inform the medical staff that a patient has arrived, and monitor the patient’s progress through the system. In addition, greeters may help patients complete forms and answer questions.

SCREENERS

Responsibilities:

  • Interview patient professionally and compassionately to determine VIM eligibility
  • Forward patient on to triage area or waiting area, depending on their needs
  • Enter data into computer
  • Update/correct any information on the application forms
  • Make copies of patient documents
  • Provide information on other local resources if patient is not eligible for VIM services

PATIENT SCHEDULER

Responsibilities:

  • Fill out appointment forms
  • Make appointment in computer
  • Check with doctor or nurse in charge if appointment dates are full or closed
  • Offer alternate appointment dates when necessary
  • Retrieve telephone messages from clinic voicemail system
  • Return telephone calls as needed

MEDICAL RECORDS SUPPORT TEAM

Responsibilities:

  • File paper charts in alphabetical order
  • Complete “out cards” for all charts taken from the records room
  • Make file folders for new patients
  • Clean out old files to prepare for scanning
  • Pull patient charts for next day appointments
  • Prepare patient forms for greeter desk
  • Enter information into computer

FOR ALL OF THE ABOVE POSITIONS, THE FOLLOWING QUALIFICATIONS APPLY:

  • Friendly, compassionate and professional
  • Basic computer knowledge (VERY basic!)
  • Detail oriented
  • Spanish language a huge help but not a requirement
  • Keep patient confidentiality at all times

SCANNERS

Responsibilities:

  • Scan records into computer system
  • Separate file information into proper categories
  • Remove old paper files from chart folders

Qualifications:

  • Computer keyboard knowledge
  • Ability to work on your own in a busy records room
  • This job requires a lot of sitting!

INTERPRETER/TRANSLATOR

Responsibilities:

  • Translate for non-English speaking patients during visit
  • Translate and assist all volunteers and staff
  • Assist patients in filling out forms

Qualifications:

  • Be friendly and compassionate
  • Be able to speak Spanish (or other foreign languages) fluently.
  • Knowledge of medical terminology is very helpful but not a requirement
  • Maintain patient confidentiality at all times

NURSING DESK SECRETARY

Responsibilities:

  • Arrive promptly on assigned day and prepare nursing desk, check which doctors and nurses are in that day and their room assignments
  • Maintain an adequate supply of forms
  • Check-in charts from greeters, highlight name on appointment list, prepare progress sheet and place in chart if necessary
  • Distribute chart to appropriate physician
  • Collect completed charts, highlight date and signature
  • Return charts to record room in alphabetical order
  • Make appointments for specialty clinics (diabetes, hypertension, etc.)
  • Prepare desk for the next day’s volunteer

Qualifications:

  • Friendly, compassionate and professional
  • Basic computer knowledge
  • Detail oriented
  • Spanish language a huge help but not a requirement
  • Keep patient confidentiality at all times

DEVELOPMENT DEPARTMENT

The Development Department is staffed with one Director, one Assistant Director, and one Development Assistant. The Development Office is the only department in the Clinic that does not have any direct patient care responsibilities. An integral component of the Clinic’s operations, the Development Department is responsible for fundraising through grants, donations and events. In addition, this department coordinates all public relations and marketing activities for the Clinic. Further, this department coordinates all fundraising events and handles public relations for the clinic.

DEVELOPMENT DEPARTMENT CLERICAL SUPPORT

Responsibilities:

  • Telephone communication
  • Assist with mass mailings
  • Send letters and thank-you cards
  • Distribute posters and informational pamphlets throughout the community
  • Assist at events
  • Perform miscellaneous office duties

Qualifications:

  • Be friendly and compassionate
  • Basic computer skills are a requirement (Microsoft Office)
  • Detail oriented
  • Excellent communication skills This job can also be “on call” – we will call you when we need you to see if you are available to help!

FUNDRAISING OR EVENT PLANNING AND MANAGEMENT

Responsibilities

  • Take responsibility for a fundraising event from setup to finish
  • Contact potential donors for prizes, giveaways or sponsorships
  • Send letters of request and thank-you cards
  • Distribute posters and informational pamphlets throughout the community
  • Keep Development Director updated regularly on status

Qualifications:

  • Have fundraising or event planning experience
  • Basic computer skills are a requirement (Microsoft Office)
  • Be detail oriented
  • Have excellent sales and phone skills
  • Ability to multitask
  • Willingness to work with little supervision – a “take charge person”!

Training:

  • This job requires an experienced individual who is willing to take responsibility for an entire event or campaign. VIM will provide clerical and communication support

PHARMACY DEPARTMENT

PHARMACY ASSISTANT

Responsibilities:

  • Check medications in
  • Count pills for repacking
  • Check expiration dates on all donated medicine
  • Print labels on computer

Qualifications:

  • Prefer some sort of medical background – nurses, physician assistants, medical insurance, doctor’s office, etc., but not required
  • Friendly, compassionate and professional
  • Basic computer knowledge
  • Detail oriented
  • Keep patient confidentiality at all times

Training:

  • No pharmacy experience required – we will train you! All tasks are performed under the direction of the clinic pharmacist

DENTAL DEPARTMENT

DENTAL ASSISTANT

Responsibilities:

  • Set up and clean operatories and keep stocked with supplies
  • Seat and discharge patients
  • Assist sterilize instruments
  • Develop x-rays
  • Ensure patient health histories are complete and consent forms are signed
  • Assist dental hygienist with sealant placement when needed

Qualifications:

  • Be friendly and compassionate
  • Detail oriented
  • Spanish is helpful but not necessary
  • Maintain patient confidentiality at all times

Training:

  • No experience necessary, we will train you!

DENTAL DEPARTMENT CLERICAL SUPPORT

Responsibilities:

  • Make patient appointments
  • Screen patients for eligibility and refer if necessary
  • Telephone patients to remind them of their appointments
  • Complete appointment forms, school excuses and referral forms
  • Retrieve and/or return charts from the chart room
  • Maintain waiting list

Qualifications:

  • Be friendly and compassionate
  • Basic computer skills are a plus, but we will train
  • Detail oriented
  • Spanish is helpful but not necessary
  • Maintain patient confidentiality at all times

Training:

  • No experience necessary – we will train you!

MEDICAL RECORDS DEPARTMENT

ELECTRONIC MEDICAL RECORDS

DATA ENTRY AND TRAINING SUPPORT

Responsibilities:

  • Accurately enter all patient information
  • Schedule multiple-specialty physicians’ appointment data
  • Enter the patient’s medical visit information
  • Occasionally help our medical providers with the system

Qualifications:

  • Be friendly and compassionate
  • Basic computer skills are a plus, but we will train at all levels
  • Ability to interact with a broad variety of people and medical professionals

Training:

  • We provide training on basic computer skills and the various components of the electronic medical records system. A willingness to learn is all that this job requires!

LABORATORY

LAB CLERICAL ASSISTANT

Responsibilities:

  • We need volunteers from 8am to 12pm every day – you choose which day you prefer to work
  • Complete requisitions for tests ordered and labels for blood tubes
  • Calls next patient and keeps lab schedule flowing
  • Assists as needed in the lab – checking supplies, telephone calls, etc.
  • Deliver lab tests to Hilton Head Hospital on the way home

Qualifications:

  • Be friendly and compassionate
  • Basic computer skills are a plus, but we will train
  • Detail oriented
  • Spanish is helpful but not necessary
  • Maintain patient confidentiality at all times

Training:

  • No experience necessary – we will train you!

PATIENT MEDICATIONS CLERICAL ASSISTANT

Responsibilities:

  • File
  • Assist patients in filling out application forms
  • Call patients for medication pick-up and reapplication
  • Log-in patient medications
  • Remind patients to refill

Qualifications:

  • Be friendly and compassionate
  • Basic computer skills are a plus, but we will train
  • Detail oriented
  • Spanish is helpful but not necessary
  • Maintain patient confidentiality at all times

Training:

  • No experience necessary – we will train you!
